Submitting and Processing an Indian Conference Visa
Application Process
- Visit https://indianvisaonline.gov.in and select the “Regular/Paper Visa Application” option.
- Fill out the online visa application form by choosing “Conference Visa” as the visa type from the dropdown menu.
- After completing the form, print it, sign it, and submit it physically with required documents to the nearest Indian Mission/Post or Indian Visa Application Center (IVAC). You can find the appropriate center via the “Visa Services” section on the site.
Required Documents
- A valid passport (minimum 6 months validity, 2 blank pages).
- A printed and signed visa application form.
- Two recent passport-sized photographs (specifications on the website).
- An invitation letter from the conference organizer in India, detailing the event, dates, and your role (e.g., speaker, attendee).
- Clearance from Indian Government Authorities:
- For conferences organized by government bodies or PSUs, prior approval from the nodal ministry (e.g., Ministry of Home Affairs or Ministry of External Affairs) may be required.
- For non-government-organized events, clearance from the Ministry of Home Affairs (MHA) is often needed, which the conference organizer must obtain and share with you.
- Proof of residence (e.g., utility bill or ID from your home country).
- Travel itinerary and conference registration details (if applicable).
Processing Time
- Processing typically takes 4-6 weeks or more, as Conference Visas require additional scrutiny and clearance from Indian authorities (e.g., MHA and MEA).
- Applicants are advised to apply at least 45 days in advance of the conference date.

Key Notes
- Conference Visas are single-entry and valid only for the duration of the conference, with a possible short extension (e.g., 2-5 days) before and after the event.
- Unlike e-Visas, Conference Visas are not available online as an e-Visa category; they fall under the regular/paper visa process.
