Student Support Guidelines
(Hostel Accommodation, Travel and Registration)
General Eligibility:
- Support is intended for students whose participation in the conference is academically relevant.
- Applicants must be currently enrolled students (Undergraduate, Postgraduate, or Ph.D.) in a recognized institution.
- Students already receiving any institutional or external fellowship (e.g., UGC, CSIR, IIT, DST, SERB, or equivalent) are not eligible for this support.
- A recommendation letter or certification from the student’s academic advisor or Head of Department/Institute must be submitted at the time of application.
- The support committee reserves the right to verify the authenticity of documents and information submitted.
- In case of a large number of applicants, selection will be based on academic merit, relevance of the research work to the conference theme, and availability of funds.
Categories:
Accommodation
- Hostel accommodation will be arranged or reimbursed, subject to prior approval.
- Only shared hostel-type accommodation will be provided. Requests for hotel accommodation will not be entertained under this support.
- Original bills, payment receipts, and proof of stay must be submitted to claim reimbursement.
- Accommodation support will normally cover the duration of the conference only.
Travel
- Financial support for travel will be provided only for 3rd AC class train tickets (Indian Railways).
- For travel by higher classes (e.g., 2AC/1AC) or alternate modes (bus, flight, etc.), reimbursement will be limited to the 3rd AC fare for the shortest route.
- Original travel tickets and boarding passes (if applicable) must be submitted for reimbursement.
- Local conveyance, taxis, or auto-rickshaw fares will not be reimbursed.
Registration
- Registration fee reimbursement will be considered only for highly deserving cases and is subject to prior approval.
- Applicants must submit proof of registration and payment receipt along with their support request.
Application Procedure:
Interested students should submit-
- A brief statement of purpose (maximum 200 words) explaining how participation in the conference will benefit their academic or research goals.
- A recommendation letter from their academic advisor or department head.
- Copies of student ID and any relevant supporting documents (e.g., accepted abstract, registration confirmation).
- All applications and supporting documents should be sent to iastaindia@gmail.com
- All reimbursements will be processed after the conference upon submission of valid documents.
- The decision of the organizing committee regarding eligibility and amount of support will be final and binding.
- Students receiving support may be requested to assist in limited volunteer duties during the conference.
